The True Cost of Fleet Downtime for Small Businesses

What one truck off the road actually costs a Lake County business once you count lost revenue, idle crew and rescheduled work.

The short answer

The cost of fleet downtime is far more than the repair bill. Add what the vehicle bills in a day, the crew's idle labor, towing, rescheduled or lost jobs and the emergency premium on parts and labor. For most small fleets a single day off the road costs more than a planned maintenance visit.

Downtime is not a repair bill

Owners usually price a breakdown by the invoice. The invoice is the smallest part of it. When a work vehicle stops, so does the revenue that vehicle produces, and the crew that rides in it, and often the job that was booked behind it.

Count the real pieces

**Lost revenue.** What does that truck bill in a day? For most service businesses that single number is larger than the repair.

**Idle labor.** A crew that cannot get to the job is still on the clock, or is sent home and paid nothing while the work slips.

**Rescheduled and lost jobs.** Cancelled appointments cost you today. Customers who call someone else cost you longer than that.

**Emergency premium.** Unplanned failures happen at the worst time. Towing, expedited parts and shuffled schedules all cost more than the same work planned.

**Overtime and coverage.** Catching up usually means paying more to do the same work later.

**Reputation.** Missed windows are remembered.

A simple way to work out your number

  1. Take what one vehicle bills in a normal day
  2. Add the day rate of the crew that rides in it
  3. Add the towing or recovery cost you would actually pay
  4. Add the value of any job that would be pushed or lost

That total is what a day of downtime costs you. Compare it against what a planned maintenance visit costs. For most small fleets the comparison is not close.

Planned beats unplanned

Preventive maintenance does not make a vehicle immortal. What it does is move most of the work from unplanned to planned: the vehicle goes out of service at a time you chose, with parts already on hand, at a price you approved before the work started. That is the whole argument.

Common questions

How do I calculate downtime cost per vehicle?
Add the daily revenue that vehicle produces, the day rate of the crew that uses it, likely towing, and the value of jobs pushed or lost. That total is your cost per day off the road.
Does preventive maintenance eliminate breakdowns?
No. It moves most work from unplanned to planned, so vehicles come out of service at a time you chose and at a price you approved first.
Which vehicles should I protect first?
The ones that bill the most per day and the ones with no spare to cover them.
